- Initial Consultation: To initiate the travel planning process, the first client will either schedule a phone call or fill out an inquiry form. This initial interaction is aimed at determining if the client's travel needs align with the services offered by Are We There Yet Travel Agency.
- Proposal Review: Once the travel proposal is complete, the client and the travel agent will schedule another phone call to thoroughly review the proposal. During this discussion, any adjustments or modifications to the itinerary can be made to meet the client's preferences and requirements.
- Booking Confirmation & Final Payment: If the client chooses to proceed with booking the proposed trip, the client will be contacted the travel agent for credit card number and CVV number. The travel agent will request a scanned copy of clients credit card and drivers license. To protect clients confidential information, only the last 4 digits of the credit card need to be shown.
- Cancellations and Refunds: Any subsequent payments made by the client will be subject to the standard cancellation and refund policy information provided during the proposal review.
- Client Responsibilities: The client is responsible for providing accurate and up-to-date information during the consultation and proposal review processes. Any changes in preferences, budget, or travel details should be communicated promptly to ensure a smooth planning process.
- Travel Package Inclusions: The final travel package will include all the services and amenities specified in the agreed-upon proposal. Any additional requests or changes made after the booking confirmation may incur extra charges, subject to availability and the agency's discretion.
- Travel Protection Packages: Are We There Yet Travel Agency offers optional travel protection packages to provide clients with added peace of mind during their journey. These packages may include coverage for trip cancellations, interruptions, medical emergencies, and other unforeseen events. Clients are encouraged to inquire about the available options during the proposal review process.
- Declined Travel Protection Waiver: If the client chooses to decline the purchase of any travel protection package offered by Are We There Yet Travel Agency, a "Declined Travel Protection Waiver" must be signed by the client. By signing this waiver, the client acknowledges that they have been informed about the availability and benefits of travel protection but have opted not to purchase it. In such cases, the client assumes full responsibility for any financial loss or liabilities resulting from unforeseen events during their travel.
- Travel Documents: It is the client's responsibility to ensure they possess the necessary travel documents, such as passports, visas, and other entry requirements, as applicable for the chosen destination(s). Are We There Yet Travel Agency will provide guidance and support in this regard, but ultimate responsibility lies with the client.
- Privacy and Data Security: All client information shared during the process will be handled with utmost confidentiality and in compliance with applicable data protection laws. Personal information will not be disclosed to any third parties without prior consent.
